    Equipment Rental Terms & Conditions

    Last updated: September 30, 2026

These Terms apply to every rental, quote, order, and service provided by Bright Frame Studios, LLC ("Bright Frame," "we," "us") to the business customer named on the order ("Customer"). By submitting an order, signing a quote, paying a deposit, or taking possession of equipment, Customer agrees to these Terms. Bright Frame serves business customers only.

    1. Order of Precedence

A signed proposal, contract, or statement of work controls over these Terms where they conflict. These Terms control over any Customer purchase order or form terms, which are rejected unless Bright Frame agrees in writing.

    2. Quotes, Orders & Availability

    • Quotes are valid for 30 days and are subject to equipment availability until a deposit is received.
    • An order is confirmed only when Bright Frame confirms it in writing and the required deposit is paid. Online requests and carts are requests, not reservations.
    • Bright Frame may substitute equipment of equal or better specification if a quoted item becomes unavailable, with notice to Customer.

    3. Rental Period & Rates

    • The rental period begins when equipment leaves our Kenner, Louisiana warehouse (or is delivered) and ends when all equipment is returned and checked in.
    • Rentals of 1 to 3 days are billed at the flat rental rate; Friday pickups returned the following Monday bill as a 1-day rental. Rentals of 4 to 7 days are billed at the weekly rate. Rentals longer than 7 days are billed at the weekly rate for each additional week or part of a week.
    • Travel, shipping, and non-use days count as rental days. There are no refunds for equipment returned early or unused.

    4. Deposits & Payment

    • A 50% deposit is required to confirm an order. Approved Bright Frame partner accounts require a 20% deposit.
    • The remaining balance is due no later than 7 days before pickup or delivery unless approved credit terms apply.
    • Customer is responsible for all applicable sales taxes, permits, and fees unless a valid exemption certificate is provided before the rental.
    • Past-due balances may incur a late fee of 1.5% per month (or the maximum allowed by law) plus reasonable collection costs and attorney’s fees.
    • Bright Frame may keep a card on file or a security deposit and charge it for unpaid rental, late, loss, damage, or cleaning fees.

    5. Cancellations & Changes

    • Cancellations more than 14 days before pickup: deposit may be applied as credit toward a future rental within 12 months.
    • Cancellations 14 days or fewer before pickup: deposit is forfeited.
    • Cancellations within 72 hours of pickup, or no-shows: up to 100% of the quoted rental may be charged.
    • Date changes, added equipment, and scope changes are subject to availability and may change pricing.

    6. Pickup, Delivery & Returns

    • Customer or its authorized representative must present valid photo ID at pickup and inspect equipment before leaving. Any issue not reported within 2 hours of pickup or delivery is deemed accepted in working condition.
    • Delivery, pickup, and trucking are quoted separately. Customer must provide safe, accessible load-in, and is responsible for venue access, dock times, and any waiting time.
    • Equipment must be returned complete, in its original cases, packed as received, on the scheduled return date and time.
    • Late returns are billed at the daily rate for each day or part of a day late. Equipment not returned within 7 days after the due date without contact may be treated as lost or stolen and reported to law enforcement.
    • Cables and accessories returned wound incorrectly, wet, or dirty, and cases returned with tape or labels, may incur cleaning or labor fees.

    7. Care, Use & Responsibility

    • Customer assumes full responsibility for the equipment from pickup or delivery until check-in by Bright Frame, including while in the hands of any crew, vendor, venue, or carrier.
    • Equipment must be operated by qualified people, per manufacturer guidelines, and protected from weather, moisture, sand, heat, and unsafe power. Customer is responsible for proper power distribution and grounding.
    • Customer may not sub-rent, lend, modify, repair, or move equipment outside the agreed location without written approval, and may not remove firmware, labels, or asset tags.
    • Consumables (batteries, gaffer tape, media wiped at return) are not warranted. Customer is responsible for backing up its own content; Bright Frame erases all media on return and is not responsible for lost data.

    8. Loss, Theft & Damage

    • Customer is responsible for all loss, theft, and damage from any cause other than normal wear, including damage in transit, at venues, or by third parties.
    • Damaged equipment is billed at repair cost plus lost rental income during repair. Lost, stolen, or unrepairable equipment is billed at full current replacement cost plus lost rental income until payment is received.
    • Theft must be reported to police and to Bright Frame within 24 hours, with a copy of the police report.
    • Bright Frame’s check-in inspection determines equipment condition. Customer may request photos or a written damage report.

    9. Insurance

Before release of equipment, Customer must provide a certificate of insurance showing:

    • Rented/leased equipment (inland marine) coverage for at least the full replacement value of the rented equipment, naming Bright Frame Studios, LLC as loss payee.
    • Commercial general liability of at least $1,000,000 per occurrence, naming Bright Frame Studios, LLC as additional insured.
    • Auto coverage for any vehicle transporting equipment, and workers’ compensation as required by law.

Customer’s insurance is primary. A lack of insurance does not reduce Customer’s responsibility for loss or damage.

    10. Dry Hire, Wet Rentals & Labor

    • Unless a proposal states otherwise, rentals are dry hire: equipment, transportation, and warehousing only. Bright Frame does not supply operators or technicians with standard equipment rentals.
    • Crew, installation, or white-label wet-rental services are provided only when itemized on a signed proposal, and are governed by that proposal.
    • Rigging, flying, and overhead work must be performed by qualified, insured riggers and are quoted separately. Customer is responsible for venue approvals and structural load requirements.

    11. Equipment Failure

Bright Frame tests equipment before release. If equipment fails through no fault of Customer, Customer must notify Bright Frame immediately. Bright Frame will repair or replace it when practical or credit the rental charge for the affected item and days. This is Customer’s sole remedy.

    12. Warranty Disclaimer & Limitation of Liability

Equipment is rented “as is.” Bright Frame makes no warranties, express or implied, including merchantability or fitness for a particular purpose. Bright Frame is not liable for lost profits, lost footage or data, reshoot or event costs, or any indirect, incidental, or consequential damages. Bright Frame’s total liability is limited to the rental fees paid for the affected equipment.

    13. Indemnification

Customer will defend, indemnify, and hold harmless Bright Frame, its affiliates, officers, and employees from all claims, injuries, damages, fines, and costs (including attorney’s fees) arising from the use, possession, transport, or operation of rented equipment or from Customer’s event or production, except to the extent caused by Bright Frame’s gross negligence or willful misconduct.

    14. Studio Rentals

Studio bookings are billed per the booked load-in, shoot, and strike windows, with overages billed in half-hour increments. Customer must follow house rules, fire and life-safety rules, and load limits, and is responsible for damage to the facility.

    15. Force Majeure

Neither party is liable for delays caused by events beyond its reasonable control, such as hurricanes, severe weather, government orders, or utility failures. For a rental cancelled due to a named storm or government order affecting the event, deposits will be held as credit for 12 months. Payment obligations for services already delivered are not excused.

    16. General

    • Governing law: Louisiana. Venue: the state or federal courts serving Jefferson Parish, Louisiana.
    • Bright Frame may update these Terms at any time; the version in effect on the order date applies.
    • If any provision is unenforceable, the remainder stays in effect. Failure to enforce a provision is not a waiver.
    • Customer may use photos or video of Bright Frame equipment in its productions. Bright Frame may reference the project in its portfolio unless Customer requests confidentiality in writing.
